Per-session, hourly and package billing
Tutors bill in a few distinct ways, and this template covers each. The simplest is per session or per hour: list each lesson with its date, subject and duration so parents can see exactly what they are paying for over a week or month. Many tutors instead sell blocks, for example a package of ten one-hour sessions billed up front at a slightly reduced per-hour rate, which secures income and rewards commitment. Exam-prep and intensive courses are often priced as a fixed program covering a set number of hours before a specific test date. Group or small-cohort sessions carry a different per-student rate than one-to-one. Because you can mix line types, a single monthly invoice can show four individual sessions plus a paid mock-exam, each itemized with its own date and rate.
Monthly billing, discounts and no-show policy
Regular students usually settle into a monthly rhythm, so the template works well as a recurring invoice listing every session held that month with the total at the bottom. This is where clear policies save awkward conversations. State your cancellation and no-show terms directly on or alongside the invoice, for example that lessons cancelled with less than 24 hours notice are charged in full, and apply that as a line when it happens. Discounts are common and worth showing explicitly: a sibling discount, a reduced rate for booking a block up front, or a loyalty rate for long-term students all belong as a clearly labeled deduction so families see the value. Billing monthly in arrears for sessions actually delivered, or in advance for a booked package, both fit the same layout.
Materials, travel and payment terms
Beyond lesson time, a few extras belong on a tutor invoice. If you provide workbooks, past papers, printed practice sets or a paid online platform, list them as separate materials lines rather than folding the cost into your hourly rate. Tutors who travel to a student's home can add a travel or mileage line for sessions beyond their usual area, keeping the teaching rate and the travel cost distinct. Most private tutoring is paid promptly, but stating a due date, such as payment within seven days of the invoice or before the next block begins, keeps things clear, and a small late fee is reasonable for chronically late payers.
