What is an invoice?

An invoice is a commercial document a seller issues to a buyer that itemizes the goods or services delivered, the amount owed, applicable tax, and how and when to pay. Freelancers, agencies, contractors and small businesses rely on invoices to get paid on time and to keep a compliant record for their accountant. A good invoice carries a unique number, both parties' details, a line-item table, the subtotal and tax, and clear payment terms. Every free invoice template here includes those fields, totals itself as you type, and exports to clean PDF and Word — no sign-up and no watermark.

Professional, Export-Ready Formatting

Every template has fill-in fields you can customize. Edit and rewrite the text with our built-in AI-enabled document editor, then export to PDF or Word.

How photographers bill for a shoot

Most photographers do not invoice a single flat number, so this template breaks the shoot into the lines clients expect to see. Start with a coverage or session fee, whether that is a two-hour portrait session, an eight-hour wedding day, or a half-day commercial rate. Add separate lines for the deliverables that actually take time: number of edited high-resolution images, an online gallery, an album or print credit, and any second shooter or assistant. Travel beyond your included radius, parking and permit fees belong on their own lines so clients see exactly what they are paying for. Keeping the shoot fee and the retouching separate also makes it obvious why a package with 200 edited frames costs more than one with 40, which cuts down on back-and-forth about pricing.

Deposits, retainers and the balance

Bookings almost always run on a non-refundable retainer, so the template supports a two-stage bill. Invoice a deposit, commonly 25 to 50 percent, to lock the date, and note clearly that it reserves your calendar and is non-refundable if the client cancels. The remaining balance is then due on or before the shoot day, or split again with the final portion payable before the edited gallery is delivered. Showing the deposit already paid as a credit against the total keeps the running balance honest and avoids a client thinking they owe the full amount twice. For ongoing commercial or brand clients you can convert the same layout into a monthly retainer covering a set number of shoots or content days, with overages billed per extra session at your standard rate.

Licensing, usage rights and print sales

Licensing is where photography invoicing differs most from other trades, and it is worth spelling out on the invoice itself. A portrait client usually receives personal-use rights, while a business paying for the same images needs commercial usage, and that distinction should appear as a line item, not a verbal agreement. For commercial work, define the license by scope, duration and territory, for example web and social for one year, and price any extension such as print, billboard or perpetual rights as an add-on. Print and album sales, sales tax where images are considered a taxable product, and rush-delivery fees round out the picture. Because the template is free, fully customizable and needs no sign-up, you can save one version for weddings and another for commercial licensing, then export either to PDF or Word in seconds.

Photographers Invoices — frequently asked questions

A non-refundable retainer of 25 to 50 percent of the total is standard, with the balance due by the shoot day. Higher-demand dates such as Saturday weddings often sit at the top of that range because the retainer reserves a date you can no longer sell.
Yes. Listing the coverage or session fee apart from the number of edited images makes your pricing transparent and lets clients clearly see why a larger package costs more, which reduces disputes over the final total.
For any commercial client, include a usage-rights line that states the scope, duration and territory of the license. It protects you legally and makes extended or perpetual rights an easy paid upgrade rather than an awkward later conversation.
It depends on your location. Many regions treat physical prints and albums as taxable goods, and some tax digital images or the whole service. Check your local rules, then add a clearly labeled tax line to the invoice.
Yes. The template is free and fully customizable with no sign-up, so you can keep one version tailored to wedding packages and another for commercial licensing, then export whichever you need to PDF or Word.
