GST invoice format for freelancers: mandatory fields, HSN and SAC codes, CGST vs IGST, export invoices under LUT, and a free compliant template to download.
Do You Even Need to Register for GST?
Freelancers supplying services within India must register once turnover crosses the threshold set for service providers. You must also register regardless of turnover if you supply services to clients in another state through an e-commerce operator, or in certain other notified cases. Thresholds and exemptions change; confirm your current position with a chartered accountant before you invoice.
If you are not registered, you must not collect GST and you must not print a GSTIN. Issue a plain bill of supply instead.
Mandatory Fields on a GST Tax Invoice
A tax invoice is a legal document, not a receipt. Miss a field and your client may be unable to claim input tax credit — which is the fastest way to lose a client.
| Field | Notes |
|---|---|
| Supplier name, address, GSTIN | Yours, exactly as registered |
| Invoice number | Consecutive, unique, max 16 characters |
| Invoice date | Date of issue |
| Recipient name, address, GSTIN | GSTIN required if they are registered |
| Place of supply | Decides CGST+SGST vs IGST |
| SAC code | Service Accounting Code for your service |
| Description, quantity, value | What you actually delivered |
| Taxable value and discount | Before tax |
| Rate and amount of tax | Split by CGST, SGST, IGST |
| Total in words | Conventional, often expected |
| Signature | Physical or digital |
The Numbering Rule People Break
Invoice numbers must be consecutive for a financial year, with no gaps and no reuse. INV-2026-001, INV-2026-002, and so on. Deleting a cancelled invoice and reusing its number is the single most common error found during scrutiny. Cancel it, keep the number, and issue a credit note.
CGST + SGST or IGST?
Look at the place of supply, not where you sit.
- Client in your state: charge CGST and SGST, split equally.
- Client in another state: charge IGST at the full rate.
- Client outside India: this is an export of services — see below.
Invoicing Overseas Clients
Export of services is a zero-rated supply. You may either export under a Letter of Undertaking without paying tax, or pay IGST and claim a refund. Most freelancers file an LUT once a year and invoice at zero tax, adding the line "Supply meant for export under LUT without payment of integrated tax". Keep the foreign inward remittance certificate from your bank as evidence.
If you also bill clients in the United States, you will likely be asked for a tax form — our guide to W-9 and W-8BEN forms explains which one applies to you.
A Worked Example
Taxable value 50,000.00
CGST @ 9% 4,500.00
SGST @ 9% 4,500.00
--------------------------------
Total 59,000.00
Same engagement, client in another state:
Taxable value 50,000.00
IGST @ 18% 9,000.00
--------------------------------
Total 59,000.00
The client pays the same; only the split changes. Getting the split wrong forces a revised invoice.
How Long to Keep Records
Retain invoices, credit notes, and supporting contracts for the statutory retention period, which runs several years past the annual return for that year. Store them as PDFs with the invoice number in the filename.
Start From a Compliant Template
Building this layout in a word processor every month is wasted time. Our free invoice templates already carry the supplier, recipient, place-of-supply, SAC, and tax-split rows — fill them in and export to PDF with no watermark. If you are new to billing, start with how to write a freelance invoice, and keep late payment reminder emails ready for when a client drifts past the due date.
Frequently Asked Questions
Can I issue an invoice without a GSTIN?
Yes, if you are not registered. It is a bill of supply, it must not show any GST, and your client cannot claim input tax credit on it.
What SAC code do freelancers use?
It depends on the service — software development, design, and consulting each map to different codes. Confirm yours against the official schedule rather than copying another freelancer.
Is a digital signature mandatory?
An invoice must be signed, but a digital signature or an authenticated e-invoice satisfies this.
This article is general guidance, not tax advice. Rates, thresholds, and e-invoicing mandates change; verify against the current rules published by the GST portal or ask your accountant before filing.
